What you need to know now

A registered Tax Agent can represent a taxpayer within the authorised scope. Check registration and appointment rather than relying on a marketing title.

  • Confirm who will act for the taxpayer.
  • Agree authority, scope and fees in writing.
  • Keep access to the taxpayer’s own account and records.

Distinguish an adviser from a registered agent

Tax advice, bookkeeping assistance and formal tax representation are different services. Before appointing someone as a Tax Agent, verify the relevant registration through the FTA rather than relying on a business card, website description or the title consultant. Identify the individual or legal person that will act and the tax matters covered. Registration with the authority does not make an independent representative an FTA employee or guarantee a particular outcome.

Agree authority and deliverables

Use a written engagement that identifies the taxpayer, services, responsible people, information deadlines and fees. Clarify whether the work includes preparing returns, submitting them, responding to correspondence or handling a specific dispute or application. Agree who approves a submission and how unresolved questions are escalated. A well-defined appointment reduces situations where the client assumes the adviser filed a return while the adviser is still waiting for approval or missing accounting information.

Provide access through the proper process

Follow the official appointment and account-linking procedure appropriate to the engagement. The taxpayer should remain able to access its own account and retain its own records. Do not substitute password sharing for a clearly documented authority. Keep a register of who has access and review it when staff or advisers change. The representative also needs timely, complete information: an appointment alone cannot correct missing invoices or an unreliable set of accounts.

Maintain a submission and correspondence file

Ask for the final computation or return, evidence of approval, submission acknowledgement and any payment instructions. Record important FTA messages and the person responsible for responding. Review outstanding matters before changing advisers and ensure the new representative receives the relevant history. An organised handover should identify open applications, filing dates and unresolved questions without relying on the outgoing adviser’s email account as the only copy of the business’s tax records. Agree how urgently account correspondence will be forwarded and who covers the engagement when the primary contact is away or cannot approve a submission.
