What you need to know now

Use the FTA’s registered-agent directory to check an agent’s listed status. A directory entry is different from an endorsement of a marketing claim.

  • Confirm who will act for the taxpayer.
  • Agree authority, scope and fees in writing.
  • Keep access to the taxpayer’s own account and records.

Verify the representative rather than a marketing label

A description such as VAT expert or approved consultant does not by itself establish registered Tax Agent status. Use the FTA’s official directory and confirm the identity of the person or entity proposed to act. The directory should be treated as a registration-checking resource, not as a ranking of service quality.

Ask which tax type and work the proposed representative will handle. The person giving commercial advice may not be the same person authorised to make a particular submission. Clarifying that distinction at the beginning avoids confusion when an FTA query, reconsideration or other formal procedure becomes time-sensitive.

Agree authority, responsibility and access

An engagement should explain the services included, information the business must provide, deadlines and who approves submissions. Keep the authorisation consistent with the actual work. A broad sales proposal is not a substitute for a clear appointment and a practical plan for handling correspondence.

Maintain the taxpayer’s own access and control over its records. Agree how documents will be exchanged and how urgent requests will be escalated. The business should be able to obtain copies of filed returns, calculations and confirmations without relying on a single individual’s inbox or an informal messaging history.

Choose support that fits the business’s transactions

A retailer, importer, property company and professional practice can have different VAT risks. Describe the business model, transaction volumes, systems and known issues before requesting a scope. Ask how the adviser will review those specific areas rather than comparing only a single monthly price.

For example, an importer may need customs reconciliation and a service exporter may need transaction classification support. A proposal should explain whether those reviews are included or separately charged. No adviser should promise automatic recovery, guaranteed acceptance or a penalty-free outcome independent of the facts and applicable law.

Keep the working relationship reviewable

Establish a regular handover covering returns prepared, open issues, information requests and upcoming deadlines. Use a short issue register so that an unresolved question does not disappear between filing periods. Retain the technical conclusions behind unusual transactions, especially when the same treatment will recur.

If the engagement ends, arrange delivery of the records and identify which applications or queries remain open. Confirm the appropriate account and appointment changes through the current procedures. This continuity matters more than a promotional title, because the taxpayer still needs an understandable record of the advice received and work submitted.
